We are a busy boutique criminal defence law practice located centrally in the Melbourne CBD. We are looking for an Executive Assistant and Office Manager to join our friendly and dynamic team. The role is full time and located in our modern Queen Street Office. We are looking for a positive, courteous and confident person to step into the shoes left by our current Office Manager, who is exploring new horizons in Queensland. The personality of the candidate is key as we promote a happy and collegiate working environment, lead by a Principal committed to providing a fair and nourishing workplace. The position description is as follows:
- Annual Salary of $75,000.00 per annum plus super.
- Hours of work 8:45am – 5pm, finishing 4pm on Fridays;
- Being the first point of contact for clients, via phone and email;
- Assisting our three lawyers;
- Proper grammar and spelling are essential, as is a courteous but firm attitude and an ability to positively navigate individuals experiencing stress;
- Assisting with general enquires, diary management and directing of calls for all staff;
- Liaising with courts, IT, suppliers, accountant, and rental management company;
- Ad hoc office duties and general office cleaning, including ensuring that we have sufficient kitchen supplies for those in the office with a sweet tooth;
- Rendering invoices, trust receipts and trust statements as requested and as per trust rules;
- Client management, which includes reminding clients of Court listings, following up on outstanding materials and payments and providing reassurance when they are trying to contact their lawyer who is unavailable.
- Supervision of paralegals, clerks and work placement staff.
- Reporting as required to the Principal, Ruth Parker, about office matters, issues with suppliers and any other practice management issues.
- Management of Key Performance Indicators (KPI’s) – whilst our firm does not set budgets for our lawyers, we do have aspirational targets. The Office Administrator would monitor these targets and report back to the Principal when they are and are not met.
- Assisting with booking and briefing of preferred barristers.
- Ordering of office supplies and stationery.
- Other tasks as required.
