Galbally Parker is a boutique criminal defence and family law firm looking for a friendly and proactive Receptionist to join our small but growing team. As a firm of three solicitors, we seek a highly organised, independent individual eager to contribute to our ongoing success. The ideal candidate will have a professional and calm phone demeanour, strong computer skills, and the ability to manage multiple tasks with minimal supervision. While prior experience as a Receptionist is beneficial, we welcome entry-level applicants who are enthusiastic and eager to learn. Above all, we value team players who are dedicated to supporting our lawyers in providing exceptional client service.

 

Work Hours

  • Monday to Thursday: 9 AM – 5 PM
  • Friday: 9 AM – 4 PM

However, we are open to considering a part-time role for the appropriate candidate.

Salary

To be determined according to experience and hours.

Key Responsibilities

Reception & Client Services

  • Warmly welcome clients and visitors upon arrival.
  • Prepare meeting rooms, ensuring necessary materials and water are available.
  • Professionally manage phone calls and direct inquiries appropriately.
  • Oversee the office diary and scheduling.

Administrative Support

  • Open and maintain client files using Evolve Go.
  • Update and manage firm precedents and document templates.
  • Organise and maintain physical files for solicitors.
  • Provide administrative assistance to lawyers, including:
    • Coordinating with professionals such as police, court staff, barristers’ clerks, and medical professionals to gather and communicate information.
    • Preparing briefs for counsel.
    • Scheduling client meetings.
    • Transcribing interview records.
  • Archive digital and physical files once cases are complete.
  • Manage client accounts, including issuing trust receipts and invoices.
  • Handle banking tasks, such as processing cash deposits and EFTPOS payments.

Office Management & Maintenance

  • Order and maintain office supplies, including stationery, tea, and coffee.
  • Coordinate with building management for office maintenance and security.
  • Ensure reception and office areas are kept clean, organised, and presentable.

Required Skills & Qualifications

  • Experience in a legal or professional services reception role is preferred but not essential.
  • Strong communication skills and a professional, welcoming demeanour.
  • High attention to detail with the ability to multitask efficiently.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and legal practice management software (Evolve Go or similar).
  • Ability to handle confidential information with professionalism and discretion.
  • Excellent organisational skills and a proactive, problem-solving approach.
  • Ability to work independently as well as part of a team.
